All personal data transmitted by the Data Subject shall be processed by Eurac Research, as Data Controller (hereinafter the Controller), in compliance with EU Regulation No. 2016/679 (GDPR) only for the following purposes:
organization of an event reservation; execution of the event, including the preparation and follow-up actions and communications about the event; institutional information and networking; processing and compliance with pre-contractual and with contract related requirements; presentation of scientific contributions; documentation of the event for institutional, archiving and communication purposes, (concerning data revealing the person's image and voice, e.g. video, audio, photographic, recordings), including, but not limited to presentations, reporting documents, creation of informative material, communication activities using any forms and media, such as web pages and social networks.
During the event may be taken photos, video and audio recordings. If the data subject prefers to not be recorded or photographed the data subject must inform the Eurac Research staff beforehand. In order not to be filmed or recorded during virtual events, you will always be able to disable the webcam and/or mute the microphone.
Furthermore, the processing of special categories of personal data according to art. 9 GDPR may be necessary (food preferences).
The legal basis for the processing of the personal data is the performance of the contract connected to the services requested and to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract. For processing special categories of personal data and for information about institutional activities not related to the event (i.e. newsletters) the legal basis for the processing is the consent.
Personal data will be stored for the time necessary to carry out the purposes for which it was collected and/or the time required to comply with the Applicable Law (Artt.2946 -2947 c.c.).
The provision of personal data is voluntary, but refusal could interfere with the correct performance of the purposes.
The recipients of the data are the persons in charge of data processing activities- staff members of the Meeting Management of Eurac Research. Some of your Personal Data are transferred to the Organizers of the event and/or, if requested, to hotels for the hotel reservation, and to Recipients who may be established outside the European Economic Area. The Controller ensures that the processing of Personal Data by these Recipients is carried out pursuant to the Applicable Law. For some events we use the Eventmanagement Software Ungerboeck. As part of your subscription, your data will be communicated to and processed by Ungerboeck, which is a service provided by Ungerboeck Systems International Inc., USA. The data that is stored when you register for the event (i.e., email address, full name, IP address, and time and date of registration) will be sent to a server operated by Ungerboeck Systems International Inc.
Personal data may be communicated also to other external service providers (e.g. insurance company), which typically process Personal Data on behalf of Eurac Research as data processors. For further details, please contact the following e-mail address: privacy@eurac.edu.
For virtual events Eurac Research uses Zoom (for further information: https://zoom.us/privacy), Microsoft Teams (for further information: https://support.office.com/en-us/article/teams-free-support-and-privacy-statement-9116c829-c8fa-4822-96a3-1e89b2911ba5).
The personal data shall be ordinarily processed mainly within the European Union. Some personal data could be transmitted to third countries outside of the EU but only if the transmission of personal data is connected to the performance of the institutional activities of Eurac Research. Eurac Research guarantees that in any case, the electronic or analogue processing of personal data by the recipient shall be in accordance with statutory provisions.
There are no automated decision-making processes.

At any time, the Data Subject has the right to request from the Data Controller access to and rectification or erasure of personal data or restriction of processing as well as the right to data portability and the right to lodge a complaint with a supervisory authority. Where the processing is based on the consent, the Data Subject has the right to withdraw consent at any time.
The Data Subject may also exercise all other rights pursuant to current data protection regulations (artt. 15 et seq. GDPR) by writing to the email privacy@eurac.edu.
